Terms and Conditions
These terms govern the UK paid beta of GradPlan. Please read them before creating an account or buying a pass. They do not limit rights that consumer law says cannot be limited.
1. Who we are and how to contact us
GradPlan is operated by GRADPLAN LTD, a private limited company registered in England and Wales under company number 17348755. Our registered office is 56 Fremantle Road, Ilford, United Kingdom, IG6 2AZ.

2. When these terms apply
These terms apply when you use the GradPlan website, create an account, are accepted as a beta tester, or buy or use a 30-day Beta Pass. At checkout, you must actively accept the current version of these terms. The Privacy Notice explains how we process personal data; acknowledging it is not consent to unnecessary processing.
If you do not agree, do not buy or use the paid service. Information shown at checkout, including price, duration and current allowances, forms part of our contract with you.
3. Eligibility and accounts
- You must be at least 18 years old, be in the United Kingdom and be an approved beta tester.
- You must provide accurate account information, keep your sign-in credentials secure and tell us promptly about suspected unauthorised access.
- Your account and pass are personal. You must not sell, share or transfer access.
- You remain responsible for checking job information, documents, answers and submissions. GradPlan does not apply to employers for you.
4. The paid beta service
The paid beta has six top-level product areas:
- Tracker – manage applications and use Smart Import to create an editable draft from text or a supported public job URL.
- Opportunities – search the approved job sources, review supplied vacancy details, save roles and add selected roles to Tracker.
- Application Studio – prepare and review a CV or cover letter against a role.
- Prep Hub – use Role & Company Intelligence, Question Cards, psychometric practice and, only while its release controls pass, governed Offline Audio Interview practice.
- Insights – review deterministic application and preparation trends.
- Improve Hub – keep goals, feedback and weekly improvement actions.
Cappy AI, Group Task Simulation, live/video interview analysis, employer submission, community, public portfolios and standalone newsletter surfaces are not included in this paid-beta scope. Source code or references for future features do not make them part of your purchase.
This is beta software. Features may contain defects and may be paused when a privacy, safety, security, cost or provider control is not satisfied. We will not reduce the core paid service without a valid reason; where a material paid feature is unavailable for a significant part of your pass, contact us so we can provide an appropriate remedy.
5. Price, payment and pass duration
The Beta Pass costs £4.99 as a one-off payment for 30 days of access. Stripe handles checkout. This is not a subscription and does not renew automatically. Unless checkout clearly says otherwise, a later pass starts after an existing paid pass ends.
We do not receive full card details. Stripe may collect billing information and provide receipts. Access starts after Stripe confirms successful payment and the account remains eligible.
6. Immediate access, cancellation and refunds
Cooling-off period
Consumers who buy online normally have 14 days to cancel a service contract. Before checkout, we ask separately for your express request that the 30-day service starts immediately and your acknowledgement that, if you cancel during that period, you may have to pay a proportionate amount for service already supplied.
To cancel, email hello@gradplan.uk with the account email and a clear statement that you wish to cancel. You may use any unambiguous wording. We will acknowledge and assess the request under applicable consumer law.
If an element legally qualifies as digital content rather than a service, any loss of a cancellation right applies only where the statutory conditions have actually been met, including the required express consent and acknowledgement. Nothing here removes rights that the law does not allow us to remove.
Faulty or misdescribed service
Your statutory rights under the Consumer Rights Act 2015 are unaffected. If the service is not of satisfactory quality, fit for purpose or as described, you may be entitled to repeat performance, a price reduction or another legal remedy. Full refunds are also available where required by law. We may voluntarily refund, extend or replace access in other fair circumstances.
A full refund or payment dispute may cause the related pass to be revoked. This does not affect access needed to exercise data-protection rights, such as obtaining an account export.
7. Fair-use and technical allowances
The £4.99 pass is priced for bounded individual use. Current controls include:

Allowances do not roll over after the pass ends. A request that fails before a usable result is accepted should not consume the relevant feature allowance; automated release can occasionally be delayed, so contact support if the displayed usage is wrong. We may apply proportionate safeguards against automation, misuse or provider-cost attacks, but will not silently charge more.
8. AI-assisted features
Some user-requested workflows use third-party AI: Tracker Smart Import, Application Studio generation/review, and transcript-based feedback for Offline Audio Interview. They produce drafts, suggestions or coaching—not facts, professional advice, employer scores or hiring decisions.
- AI output can be incomplete, inaccurate, biased or unsuitable. Review it and use your own judgement.
- Nothing is submitted to an employer and no document change is accepted without your action.
- Do not include unnecessary special-category data, criminal-offence data, secrets, third-party personal data or confidential employer material in prompts, documents or recordings.
- We do not use AI output to make solely automated decisions with legal or similarly significant effects about you.
Provider processing and retention are explained in the Privacy Notice.
9. Your content and our licence to process it
You retain ownership of content you upload or enter. You give us a limited, non-exclusive licence to host, copy, parse, transform and transmit that content only as necessary to provide, secure and support the service, comply with law and exercise our legal rights. The licence ends when the content is deleted, subject to lawful retention, backups and provider deletion cycles described in the Privacy Notice.
You must have the right to use the content. Do not upload malware, unlawful material, material that infringes intellectual-property or privacy rights, or confidential information you are not permitted to disclose.
10. Acceptable use
You must not:
- break the law, harass others, impersonate another person or misrepresent qualifications or experience;
- probe, bypass or interfere with authentication, entitlement, rate, AI-safety, storage or security controls;
- scrape, reverse engineer or use automated access except where law permits it and cannot be excluded;
- use GradPlan to make automated employment decisions about another person or to process their sensitive data without a valid legal basis;
- resell the service or overload it in a way that affects other beta testers.
11. Our intellectual property
GRADPLAN LTD owns or licenses the service, software, designs, text, graphics and GradPlan branding. “Cappy” is a GradPlan character/brand used in product guidance; it is not a separate paid-beta feature. Except for the personal right to use the service during your pass, no rights are transferred to you. Feedback may be used to improve GradPlan without identifying you publicly or transferring ownership of your underlying content.
12. Third-party services and links
GradPlan depends on Firebase/Google Cloud, Google Gemini and Speech-to-Text, Stripe, and limited communications infrastructure. Public job links and other external sites are controlled by their operators. Third parties may have their own terms and privacy notices. We remain responsible for our obligations and for choosing processors appropriately, but we do not control an external site or guarantee that it remains available.
13. Availability, maintenance and changes
We aim to provide the service with reasonable care and skill but do not promise uninterrupted availability. We may carry out maintenance, respond to incidents, enforce provider or legal controls, and correct defects. We will give reasonable notice of a material adverse change where practicable. Security, legal or urgent operational changes may take effect immediately.
Changes to these terms apply prospectively. If a change materially disadvantages an active paid pass, the earlier terms continue for that pass unless the change is required by law or necessary for security; we will explain the effect and any available remedy.
14. Suspension and termination
We may restrict or suspend access where reasonably necessary for security, suspected fraud, serious or repeated breach, legal compliance, payment failure or protection of other users and providers. Where appropriate, we will explain the reason and give you a chance to remedy it. We will not use suspension to avoid providing a consumer remedy.
You may stop using GradPlan at any time and request account deletion. Pass expiry does not automatically delete your account or workspace. Sections that naturally continue—such as ownership, accrued payment rights, lawful retention, liability and dispute provisions—survive termination.
15. Responsibility and liability
Nothing in these terms excludes or limits liability where it would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or breach of your statutory consumer rights.
GradPlan is provided for personal job-search organisation and preparation. We are not responsible for an employer’s decisions, missed opportunities caused by information you did not check, or losses that were not reasonably foreseeable when the contract was made. We do not exclude liability for foreseeable loss caused by our breach or failure to use reasonable care and skill.
We are not liable for business losses because the service is supplied for personal consumer use. This section is subject to the mandatory rights and remedies described above.
16. Complaints and disputes
Email hello@gradplan.uk with the account email, what happened and the outcome you want. We will acknowledge and investigate complaints fairly. Privacy complaints follow the process in the Privacy Notice.
There is no mandatory arbitration term. These terms and any non-contractual dispute are governed by the law of England and Wales. If you live elsewhere in the UK, you also retain any mandatory protections and may bring proceedings in the courts of the part of the UK where you live.
17. General terms
If a court finds part of these terms unenforceable, the remaining terms continue. A delay in enforcing a right is not a waiver. You may not transfer this contract without our consent; we may transfer it only where this does not reduce your rights, and we will tell you. No person other than you and GRADPLAN LTD has a right to enforce this contract, except where the law provides otherwise.
GradPlan Autofill beta
Autofill is an assistive feature. You choose which approved information to insert, check each answer, navigate the application and submit it yourself. GradPlan does not submit applications or make declarations, signatures, legal confirmations or sensitive equality choices for you. A suggested match is not confirmation of eligibility. Custom or embedded forms may need manual completion. Do not use Autofill to bypass website restrictions or anti-bot controls.
